After selecting the relevant module, click the installation link to proceed. This step takes you to Power BI, where you need to sign in using your credentials.

Once signed in, click the “Get it Now” button and follow the on-screen instructions to complete the installation process. Upon successful installation, it is necessary to refresh the Apps page in Power BI. This action ensures that the newly installed app becomes visible and ready for further configuration. Without this step, the app may not appear correctly, which could delay the setup process.

Set Up the Power BI Template Application

After successfully installing the Power BI template app, the subsequent step involves setting up the application. Open the installed Power BI app, where a yellow notification bar will appear; clicking on it is crucial to proceed. Enter the Environment Type and Company Name with precision, as accuracy in these details ensures proper data mapping and synchronization.

Next, OAuth authentication is required to log in with your Office 365 credentials. This authentication method secures the data connection between Power BI and Business Central. After logging in, the data refresh process begins to sync Business Central data with the Power BI report. Depending on the dataset size, this synchronization may take a while. It is advisable to patiently wait until the process concludes to ensure data accuracy.

The final step in setting up the Power BI template app is renaming the workspace for clarity. Click on Workspace Settings in the top-right corner, navigate to the General tab, and rename the workspace. Including the company name in the workspace title is recommended to maintain organization and ease of identification.

Distribute the Power BI App

Once the Power BI app is installed and set up, sharing it with relevant stakeholders is the next step. Navigate to the installed App Workspace and click the three-dot menu (…) next to the app. Select the “Edit” option and go to the workspace where the app resides. In the upper-right corner, there is a “Manage Access” button; click on it to start the sharing process.

Here, the option to add people or groups who need access to the Power BI reports is available. By clicking “Add People or Groups,” input the individuals’ email addresses or select security groups as required. It is recommended to use Entra Security Groups as they simplify the management of access permissions. This method allows centralized control over user access and ensures consistent permissions across Business Central.

Properly sharing the Power BI app ensures that all relevant users have access to the critical data needed for their roles. This step is crucial to maximizing the value derived from the Power BI reports, as it promotes collaboration and informed decision-making across the organization.
