Business Central Sync: Automated G/L and Vendor Inserts Across Companies

Managing multiple companies under one umbrella can be a daunting task, especially when it comes to maintaining consistent financial records and vendor information. The client in this case, who moved from Microsoft Solomon to Business Central, oversees operations across 14 companies. Previously, a custom function in Solomon allowed for copying new G/L records and vendor records inserted into a Master Company to all other companies. Recognizing the necessity to maintain this efficiency in Business Central, PDG Consultants developed a prototype to replicate this function within their Business Central Sandbox Environment.

Creating the Sync Prototype

PDG Consultants’ primary objective was to create a robust system that could seamlessly synchronize new entries across all affiliated companies. The development process included a proof of concept phase, which involved testing the function across three companies to simulate its effectiveness in a more comprehensive setup. The Master Company was designated as the central hub where any new G/L accounts and vendor records are initially added.

To ensure the system’s reliability, new entries were made for G/L accounts and vendors in the Master Company, known as PDG Consultants. Within minutes, these changes reflected in all other companies, underscoring the efficiency of the system. The proof of concept successfully demonstrated the feasibility of the approach, thereby setting the stage for full-scale implementation across all 14 companies.

This innovative functionality allows users to manually enter new data into the Master Company, which then propagates to all other subsidiaries. Two new bank accounts, identified as 11030 Chase Bank and 11040 Berkshire Bank, were added to the Master Company’s G/L. Initially, these accounts were not present in the financial statements of the other companies, namely Chronus International Ltd and Chronus 2. However, once the "Ready for Data Sync" box was checked, a System Job immediately added these new accounts, ensuring all subsidiaries had the updated G/L accounts without manual intervention for each entity.

Syncing New Vendor Records

Apart from G/L accounts, the new system also supports the synchronization of vendor records. Adding a new vendor in the Master Company follows a similar procedure to adding new G/L accounts. For instance, a new vendor called American Builders Supply was added to the Master Company. By turning on the "Ready for Data Sync" option in the Vendor Card, the new vendor entry was successfully replicated across all other companies.

The synchronization of vendor records is vital for maintaining up-to-date vendor information across all levels of the organization. This feature not only enhances operational efficiency but also reduces the risk of errors and redundancies that could occur with manual data entry. After the changes were synchronized, American Builders Supply appeared in the vendor records of Chronus International Ltd and Chronus 2, among others, ensuring all companies had consistent vendor data.

The implementation of this automated synchronization system marks a significant advancement in how companies manage their financial and vendor records. By reducing the manual workload required to update multiple sets of records, businesses can focus more on strategic decision-making and less on administrative tasks.
